Dispatch Position

 

We are looking for a dedicated Dispatch Coordinator to manage the scheduling and booking of flights for our students, ensuring all operations run smoothly. You will be responsible for coordinating training flights, maintaining clear communication with instructors, students, and operational staff.

The ideal candidate should have excellent customer service skills, be friendly, and provide a warm and professional approach to all individuals involved. Additionally, they should be well-organized, capable of handling multiple tasks simultaneously, and proactive in solving problems.

The goal is to offer a positive experience for our students, ensuring their flights are scheduled correctly, and providing high-quality customer service that makes them feel valued and well cared for.

Responsibilities

  • Schedule and book training flights for students, ensuring all reservations are accurate and timely.

  • Maintain clear and professional communication with students, instructors, and staff to ensure smooth coordination of flight operations.

  • Provide excellent customer service, greeting and assisting students, visitors, and staff with a warm and professional attitude.

  • Answer incoming calls, respond to inquiries, and redirect calls as necessary or take detailed messages.

  • Address customer concerns and resolve issues, ensuring a positive experience for all involved.

  • Monitor and manage flight schedules, making adjustments when necessary to accommodate changes or delays.

  • Keep records updated for flight schedules, student progress, and other relevant information.

  • Monitor office supplies related to dispatch operations, ensuring materials are always available and ordering as needed.

  • Check, sort, and forward emails, responding to inquiries or directing them to the appropriate department.

  • Assist with administrative tasks, including filing, organizing documents, and maintaining an orderly workspace.

Requirements

  • Previous experience in scheduling or administrative roles, preferably in a similar environment, such as aviation or education.

  • Strong organizational skills with the ability to manage multiple tasks simultaneously and adjust schedules as needed.

  • Excellent communication skills, both written and verbal, with the ability to interact professionally with students, instructors, and staff.

  • Customer service experience, with a friendly and approachable demeanor to greet and assist visitors and resolve inquiries effectively.

  • Proficiency in managing phone calls and emails, including the ability to answer, redirect, or take messages in a professional manner.

  • Attention to detail, ensuring that flight schedules and records are accurate and updated in a timely manner.

  • Basic knowledge of office supply management, with the ability to monitor and order necessary materials.

  • Ability to handle administrative tasks, such as filing, organizing documents, and maintaining orderly workspaces.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) or similar tools.

  • Problem-solving skills to address customer concerns and resolve issues quickly and efficiently.

  • High school diploma or equivalent required; additional certification or training in dispatch, aviation, or office administration is a plus.
